Coupons
Make discount codes, assign them to products, give one-patient codes, and turn coupons off the safe way.
Coupons are discount codes patients type at checkout. This page shows you how to make them, assign them to products, and turn them off. You do this in the Products area. You need to be a Client Admin.
Don't see coupons? Coupons can be turned off for some accounts. Here's how to check: in the left menu, click Products. If you see a Promo Codes button, coupons are on. If you do not see it, ask your provider network or GEN Health support to turn coupons on.
Before you start
Have these ready:
The product you want to discount, already created
A short code to give patients, like SAVE20
The discount you want: a percent off, an amount off, or a set price
Who does what: You set up coupons as a Client Admin. A staff helper can make them too, but only after you turn on their coupon permission under Settings → Patient experience. Your provider network does not touch this.
Time: About 2 minutes per coupon.
The three discount types
Pick one type for each coupon.
| Type | What the patient gets |
|---|---|
| Percentage Off | Takes a percent off the product price. Example: 20% off. |
| Dollar Amount Off | Takes a set amount off the price. Example: $10 off. |
| Set Final Price | Sells the product at an exact price you choose. Example: $49. |
Make a coupon
Open the Promo Codes window
In the left menu, click Products. At the top right, click the Promo Codes button. A window opens. You see a list of any codes you already made.
Start a new coupon
Click Add promo code. The Create Promo Code form opens.
Type the code
Type a short code patients will use, like SAVE20. Keep it short and easy to type. Avoid characters that look alike, like the letter O and the number 0.
Choose the discount
Choose the type: Percentage Off, Dollar Amount Off, or Set Final Price. Then enter the amount. See the table above.
Choose which products it works on
Pick the products the coupon works on. A coupon only works on the products you pick.
Save the coupon
Save the coupon. It appears in your list and turns on. Patients can now type it at checkout.
A coupon only works on its products. If a patient says a good code does not work, first check that the code is assigned to the product in their cart. This is the most common coupon question.
Make a test coupon for your launch test
Before you go live, you make a test order to check that checkout works. A 100% off coupon makes the product free, so you can test without paying.
Create the coupon
Make a new coupon. Choose Percentage Off and enter 100. This makes the product free.
Assign it to your test product
Assign the coupon to the product you will test with.
Run your test order
Buy the product as a test patient. Type the code at checkout. The price should drop to $0.
Turn it off
After the test, turn the coupon off so no real patient can use it.
Codes for one patient
You can make a code that works for only one patient. In the Promo Codes window, open the Patient Codes tab. Click Add patient code and pick the patient. No one else can use it, even if the patient shares it.
Use this to give one patient a special price without offering it to everyone.
Turn off a coupon
To stop a coupon, find it in your code list and click Deactivate. This stops new patients from using it. It does not change orders that already used the code.
Turn a coupon off — never reuse the code. When a coupon is done, turn it off. Do not change an old code and use it again. A code that meant one thing last month and another thing today causes refunds and confused patients.
Words to know
| Word | What it means |
|---|---|
| Coupon (promo code) | A code that gives the patient a discount at checkout. |
| Assign | Pick which products a coupon works on. |
| Turn off (deactivate) | Stop a coupon so no new patient can use it. Past orders do not change. |
Common questions
A patient says their code doesn't work. What do I check?
Check three things.
- The coupon is turned on.
- The coupon is assigned to the product in their cart.
- For a one-patient code, it belongs to that patient.
Where does the patient type the code?
At checkout. The patient types the code in the coupon field before they pay. If they are stuck, send them a screenshot of the field.
Can I make a product free for a test?
Yes. Choose Percentage Off and enter 100. The product becomes free. Use this for your go-live test order, then turn the coupon off.
Should I delete an old coupon and reuse the code?
No. Turn it off instead. Reusing an old code confuses patients and support. Make a new code for a new offer.
