Patient Notifications
Control the reminders and confirmations patients get by email and text. Most brands launch with the defaults.
This page shows you how to control the reminders and confirmations your patients get by email and text. You set these once, and you can change them any time. You need to be a Client Admin.
Can you skip this? Yes, for now. The reminders come switched on to sensible defaults. Most brands launch without changing them. You can come back later.
Two settings share the name "Notifications" — do not mix them up. This page is about Patient notifications, the messages your patients get. A different page, Settings → Notifications, is email alerts for you. Both are explained below.
Before you start
Have these ready:
Nothing to buy or install
A test patient account and your phone, only if you want to preview a message
Who does what: You set this up. You must be a Client Admin. Your staff can see the messages patients get, but cannot change these settings.
Time: About 5 minutes. There is no waiting and nothing to approve.
What patients get
These settings shape the automatic messages the platform sends your patients. Patients get them by email and text.
- Reminders — a nudge about a visit or a next step the patient still needs to do.
- Confirmations — a message after the patient books or buys.
Follow one simple rule. Send a reminder for every step a patient must do, and nothing else. Too many messages make patients ignore all of them.
Refill reminders are set on each prescription, not on this page. To change them for one patient, open that prescription. See Prescriptions & Refills.
Set up patient notifications
Open Settings
In the left menu, click Settings. You land on the Account settings page. You see a grid of cards.
Open Patient experience
Click the Patient experience card. This card holds your portal layout, checkout order, and notifications.
Find Patient notifications
Scroll to the Patient notifications section. You see one row for each patient message.
Review each reminder
Read each row. Leave a reminder on if patients need it. Turn a reminder off if it does not match how you work.
Test with a real message
Book a test visit or make a test purchase with a test patient account. Check that the email and text read well and point to the right step.
Not sure which reminders are on? You do not have to guess — here's how to check: open the Patient notifications section and read each row. Each row shows whether it is on or off. Most brands leave the defaults as they are.
The other Notifications page (email alerts for you)
There is a second page named Notifications. It is for you and your team, not your patients. It emails you when something happens.
To open it, click Settings, then the Notifications card. You see 3 alerts. All 3 start off. Turn on the ones you want.
| Alert | What it does |
|---|---|
| Patient payment completed — all Client Admins | Emails every Client Admin when a patient pays. |
| Patient payment completed — responsible staff | Emails the staff member assigned to that patient. |
| Patient messages | Emails you when a patient sends a message. |
These alerts go to you and your team. They never reach patients.
Words to know
| Word | What it means |
|---|---|
| Client Admin | The role that can set everything up: branding, payments, products, team. |
| Client Staff | The role for daily work: patients, orders, messages. Cannot change setup. |
