Find a visit
Use this when you know the patient, client, product or provider.
Search
Type in Search patients, clients, products, or providers. A patient's email works best.
Narrow it
Filter by Visit type, Status, Client, Product / form, Provider, Patient state, Prescription (With Rx or No Rx) or Encounter date. Live Visits Only switches to sandbox test visits.
You'll know it worked when the table shows only the visits you want, with Type, Encounter date, Assigned To and Status for each.
Who can do this: Provider, Provider Delegate and Provider Network Admin, across the whole network.
Find out why a patient hasn't been seen
Use this when a client says their patient paid and nobody has reviewed them.
Search and read the row
Search the patient's email. Status says where the visit stands, Assigned To says who has it, and a red No Rx tag means no prescription yet. No assignee on a pending async visit means nobody has claimed it.
Open it, or check Orders
Click the row to open the chart. If there's no row at all, the order hasn't become a visit yet, usually because it's waiting on labs, forms or payment. A Provider Network Admin can see why in Orders.
You'll know it worked when you can tell the client who has the visit, or what the patient still has to do.
Who can do this: anyone with All Visits. Orders detail is for admins.
Open, claim or continue a visit
Use this to act on a visit straight from the list.
Pick the action
Claim takes an unclaimed async visit (Providers only). Continue reopens your own. View or View Summary opens anyone else's or a finished one. Clicking the row opens the chart too.
Use the row menu
⋮ offers Move to In Progress for visits waiting on the patient, plus Message patient and Message client group.
You'll know it worked when the chart opens. After Claim, the toast reads Review claimed. and you land on ASYNC Visits → In Progress.
Who can do this: Provider for Claim and Continue, with the same licence and DEA rules as Visits (ASYNC). Provider Delegates open charts read-only, or to prescribe on approved ones.
Reassign from the list (admins)
Use this to move a visit you found by search to another provider.
Click Assigned To
For an async visit, the Assigned provider menu offers Reassign provider or Unassign provider. For a sync visit, the Reassign visit dialog opens.
Pick and confirm
Choose the provider (and time, for sync) and confirm.
You'll know it worked when the row's Assigned To shows the new provider.
Who can do this: Provider Network Admin and Provider Delegate. Admins can also Void any open visit.
Provider Delegates: you can assign and reassign here, but you can't claim or void.
Export the list
Use this for a report or an audit.
Filter first
Set the filters and date range you need.
Click Export CSV
The file follows your filters and adds a Prescription column (With Rx or No Rx).
You'll know it worked when the CSV downloads.
Who can do this: anyone with All Visits.
What can go wrong
| What you see | Why | Fix |
|---|---|---|
| Visit search is being prepared. Retry shortly. | The search index is being rebuilt | Wait a minute and click Retry. If it lasts, raise a ticket in Support. |
| Too many visits to export. Narrow the filters and retry. | The export is too large | Shorten the Encounter date range or add filters. |
| Claim greyed out | No verified licence for the patient's state, or no DEA for a controlled medication | Hover it for the reason. See Visits (ASYNC). |
| Several visits for one patient and product | The client sent more than one offer, or each product made its own visit | Ask the client which is real; void or deny the rest as your network prefers. |
Questions people ask
I don't see the client's new patient in our queue. Is it stuck somewhere?
Search them here first. No row means the order is still waiting before clinical review, usually for labs or forms. A Provider Network Admin can see what's missing in Orders.
A visit assigned to me doesn't show in my queue. Where is it?
Search the patient here. Assigned To and Type tell you who has it and whether it's on ASYNC Visits or SYNC Visits.
Did this order get reviewed?
Find the visit and read Status and the No Rx tag. View Summary opens the recorded decision.
Is there a log of appointment reassignments?
Not on this page. Assigned To shows the current provider and Last Provider the one before, but there's no full history of changes.
Why do I see multiple visits for one order?
Each product can create its own visit, and a patient who got several offers can end up with several orders. Search the patient to see them together.
